Everything we do is about enabling our clients to succeed by bringing the very best people, experience and innovation together. We have an exciting new role, a Project Co-ordinator, as we expand our Customer Success team, at a pivotal point in the company’s growth and expansion.
What will you be doing
The main purpose of the role will include;
- Ensure smooth and professional execution of projects contributing to the happiness and satisfaction of our customers
- Track internal and external resources to ensure it is available and used efficiently
- Maintain quality assurance and provide project status reports
- Onboarding new customers and consultants
- Provide key information to Finance to enable efficient invoicing for services
Key tasks include;
Resourcing
- Manage and track consulting resource demand from Sales team
- Analyse sales projections and map into a real demand
- Track and measure resource utilisation
- Complete consultant contractual paperwork, including NDAs, Supplier Agency Agreements & Schedules
- Ensure relevant policies are signed by our consultants
- Maintain consultants’ schedules
- Approval of consultants’ invoices
Prepare services data for monthly invoicing
- Confirm all expenses to be invoiced
- Ensure timesheets are kept up to date in AdaptiveWork
- Generate & validate timesheets report on first working day of the month
- Create monthly Project Rates spreadsheet
AdaptiveWork
- Create new projects ensuring all key data is populated within the project
- Track opportunities to proactively manage resource allocation
- Add resource to projects
- Create tasks
- Manage timesheets
- Identify risks and track lessons learned
- Whilst these tasks should be completed in AdaptiveWork, this may be completed in Spreadsheets initially
Customer Communication
- Onboarding new customers and consulting partners
- Create customer contracts (Statement of Work documents)
- Track project status, sending a weekly report to the customer
- Keep records of communication, decisions and changes in HubSpot
Cross Department Communication
- Maintain good communication with Project Manager’s to ensure we are adhering to quality assurance
- Build a strong relationship with Sales to support them in producing project documents, and being part of the project team to ensure a smooth delivery for the customer
Key Objectives
- To ensure the project deliverables are met, to our quality standards and meeting client expectations.
- Resources are fully and efficiently utilised
- Timesheets for resources completed
- Ensure we have the necessary resources to meet demands
- Maintain clear and effective communication with internal teams and customers
