What you will be doing

This is a vitally important, varied and exciting role in which the PA will form an extension of the CEO and will be ultimately responsible for the administrative organisation and communications of the CEO. Fundamental to this to this is optimisation of the CEOs time and effectiveness so they do not have to consider any administrative, travel or day to day planning activities.

The role will be responsible for and report into the CEO.

Primary duties will include;

  • Responsible for providing professional administrative and business support to the CEO
  • Minimising interference from administrative activities and acting as a gatekeeper to the CEO’s time so that the CEO can focus on appropriate activities
  • Ensuring that the CEO’s day is optimally planned, anticipating requirements and proactively booking meetings, travel, follow ups etc
  • Preparing meeting, travel, hotel booking documentation (or virtual equivalent) in advance
  • Attending meetings and taking minutes, actively and accurately capturing actions
  • Following up on actions with the relevant owners and coordinating responses
  • Handle multi-location domestic and international travel arrangements, and prepare expense report with accuracy and efficiency
  • Meeting co-ordination
  • Internal communications
  • Acting with appropriate discretion and professionalism with the wider team maintaining strict confidentiality of sensitive information, financial documents, and personal matters
  • Preparation of presentations; marketing materials; reports
  • Proof reading and formatting documentation to the Ignite Standard
  • Managing the CEO’s Outlook Inbox and diary – Filter incoming email; sorting, redirecting, taking action as required
  • Occasional event planning

What we are looking for

We are looking for a candidate with the following skills and experience;

  • 5+ years of PA / administrative support experience
  • Excellent verbal communication skills
  • Exceptional organisational skills
  • Ability to think beyond boundaries of own job, challenges the status quo and seeks opportunities for continuous improvement
  • Record of accomplishment of handling and resolving challenges quickly and efficiently, with flexibility to adapt to changing situations
  • Experience with effectively multitasking in a fast-paced environment while maintaining confidentiality and discretion
  • Ability to demonstrate tact, persuasion and/or negotiation to accomplish the objectives
  • Ability to anticipate needs before they arise, and to fix errors and omissions
  • Ability to compose letters and announcements
  • Someone who is confident and not scared to challenge the norm
  • Unwavering decision maker
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Competency with virtual technologies (e.g., MS teams, Zoom) & using various IT systems
